A Simple Mobile Detailing Follow-Up System

Phone notes, texts, spreadsheets, and memory can all hold customer information. The problem is deciding who needs attention today. A useful follow-up system turns those records into one short action list.

A simple recovery plan

  1. 1. Keep one source list.
    Use one table for customer, vehicle, last service, interval, next due date, and status.
  2. 2. Calculate the next due date.
    Last service + expected interval gives you a date you can sort instead of relying on memory.
  3. 3. Create four statuses.
    Due Soon, Due Today, Overdue, and Rebooked are enough to run a focused daily workflow.
  4. 4. Work from the top of the queue.
    Contact the oldest overdue or highest-priority customers first, then record what happened.
  5. 5. Carry the next action forward.
    Every record should end with a next date or a closed outcome. Otherwise it becomes another forgotten note.

A follow-up that does not sound automated

Hi [Name] — I was reviewing my service list and saw your [vehicle] may be due again around now. If you want, I can send the next couple of openings. If not, all good.

Keep it personal, relevant to the customer's last service, and easy to ignore without pressure.
